Executive Administrative Assistant - Retail Distribution

What Administration contributes to Cardinal Health:
Business & Administrative Support is responsible for assisting general business operations by providing an array of administrative and data support activities. Administration is responsible for performing a variety of administrative activities in support of the leaders they support. Serves as administrative liaison with others within and outside the company.

The Executive Administrative Assistant is responsible for providing support to multiple leaders in their day-to-day office activities. This job manages scheduling and makes travel arrangements for related leaders. The Executive Administrative Assistant maintains a strong understanding of all relevant Cardinal Health operations and frequently represents the company/senior leaders internally and externally through written and verbal communications. This job frequently handles confidential information and personal matters which requires the use of discretion and judgement in all interactions. The Executive Administrative Assistant anticipates the needs of leaders and is capable of managing multiple tasks at time.

This role reports to the Executive Vice President of Retail Distribution and will also provide executive administrative support to multiple Vice President level leaders.

Responsibilities:

  • Maintain executive calendars, including but not limited to: management of daily executive schedules, quickly responding to schedule changes, coordinating multiple executive schedules to align availability, standing up recurring meeting cadence, scheduling department/team meetings and coordinating associated logistics (conference room reservations, room set-up, luncheons, etc.)

  • Maintain confidentiality of executive communication, projects and work

  • Coordinate global travel including the booking of all flights, hotels, car service, etc. for conferences, and other external and internal events and meetings

  • Communicate with members of senior leadership team and other key business partners and vendors

  • Manage and prioritize multiple projects simultaneously while meeting deadlines

  • Ability to use and create Excel, PowerPoint, and Word documents and presentations utilizing data or input provided by staff

  • Prepare and submit expense reports for executive staff members as requested

  • Review expense reports as executive delegate which requires familiarity with all T&E policies

  • Coordinate departmental staff meetings

  • Assist with coordination of meetings at tradeshows for executive staff members, as appropriate

  • Screen incoming calls/inquiries and handle independently where possible

  • Other administrative support duties (i.e. functional support during key projects), as assigned

Qualifications:

  • Bachelor’s degree, preferred, or equivalent combination of education and professional experience preferred

  • 6-8 years of executive administrative assistant experience in a related field, preferred

  • Proficient in Microsoft Office programs and Outlook

  • Self-directed; ability and willingness to problem-solve and apply creative solutions (for example with calendaring conflicts)

  • Proficient verbal and written communication skills

  • Flexible in approach; ability to work extended hours when required

  • Work proactively, learn and adapt quickly, and enjoy working in a fast-paced and changing environment

  • Ability to interface with employees at all organizational levels, especially c-suite

  • Ability to escalate issues when necessary

  • Strong time management and prioritization skills; ability to effectively set expectations with internal customers regarding timing of activities

  • Detail-oriented and able to work with a high level of confidentiality

  • Required to work in the office at least 3 days a week
