Business & Inside Sales Coordinator

We are seeking a motivated and detail-oriented professional to provide administrative and operational support across Sales, Marketing, Pricing, and Bids & Tenders activities in the Benelux region. Reporting to the General Manager Benelux, this role requires fluency in Dutch, French, and English, strong organizational skills, and a collaborative approach.

You will work closely with local commercial teams and cross-functional partners across EMEA, including HR, Finance, Procurement, Compliance, Customer Service, and IT, helping to ensure smooth business operations and outstanding support to internal and external stakeholders. Occasional travel may be required.

Key Responsibilities

Administrative, Sales & Marketing Support

  • Create and coordinate marketing materials, promotional items, digital campaigns, and social media activities.
  • Support Product Managers with marketing initiatives, conferences, educational events, and customer-facing activities.
  • Organize internal meetings, events, conferences, and employee onboarding activities.
  • Maintain filing systems, company records, fleet administration, and mobile phone contracts.
  • Coordinate logistics for samples, marketing materials, and team activities.
  • Manage vendor administration, procure-to-pay processes, and relationships with external agencies and suppliers.
  • Draft, review, approve, and distribute internal and external business communications.
  • Support compliance requirements for commercial and educational events.
  • Foster cross-functional collaboration and contribute to a positive company culture.

Pricing & Tender Management

  • Manage daily pricing, bids, and tender activities across the Benelux region.
  • Prepare, submit, and administer tender proposals and contracts throughout the contract lifecycle.
  • Maintain accurate pricing, contract, tender, and customer master data in SAP, Salesforce, and related systems.
  • Coordinate annual price increase projects and support pricing strategy execution.
  • Resolve pricing, invoicing, and delivery block issues to ensure operational efficiency.
  • Analyze tender outcomes, pricing performance, and identify process improvement opportunities.
  • Build strong relationships with internal stakeholders across Sales, Marketing, Finance, Customer Service, IT, and Procurement.

Pricing Operations

  • Perform pricing analysis, maintenance, contract management, and pricing research activities.
  • Validate, update, and monitor pricing data and system integrations to ensure data accuracy.
  • Support accurate customer invoicing by resolving pricing discrepancies and billing issues.
  • Produce pricing and performance reports and provide insights to support business decisions.
  • Drive continuous improvement initiatives for pricing, tender, and customer data processes.
  • Support ad hoc projects and analysis across the EMEA business.

Job Competencies

  • Fluent in Dutch, French, and English.
  • Strong communication, stakeholder management, and relationship-building skills.
  • High attention to detail, accuracy, and analytical capability.
  • Proactive, solution-oriented mindset with strong ownership and accountability.
  • Ability to manage multiple priorities and work effectively both independently and within a team.
  • Experience in administration, sales support, marketing, pricing, or tender management is an advantage.

Qualifications

  • Secondary school diploma in Office Management, Languages, Business Administration, or a related field.
  • Bachelor's degree is preferred.
  • Up to 2 years of experience in administration, sales support, marketing, pricing, or tender management is considered an asset.
