Job Brief

The C&E organizer will be primarily responsible for collaborating directly with EMEA marketers to identify and develop congress strategy/objectives, and ensure these are executed to meet or exceed their expectations. This involves researching congresses, evaluating sponsorship, marketing and promotional program opportunities, presenting these opportunities to the marketers and working internally to manage and execute these.


  • Responsible for leading the planning and execution of Congresses: primary point of contact, lead progress of operational plans, timelines, and contracts, manage exhibit design and execution
  • Experience providing technical and logistical support for a wide range of meetings including: congresses, kick off meetings, customer meetings, ad boards
  • Responsible for developing and cultivating a wide range of relationships: congress organizers, multiple vendors, and internal stakeholders (colleagues, cross functional functions, multiple countries, middle & top management)
  • Responsible for suppliers’ management, onsite meeting management, budget management and ensuring continued compliance.
  • Ability to set, communicate, and maintain timelines and priorities on every project
  • Ensure excellent customer service, customer focus and quality delivery
  • Support the EMEA Events & Marketing Solutions Lead in the execution of other meetings and events when needed.
  • Assist the EMEA Events & Marketing communications Manager department in centralizing the Finance activities of the department and EMEA marketers overall.
  • Support execution of Sponsorship commitments (e.g., tracking deadlines, liaising between organizers and internal material owners, payment)
  • Secure and manage tradeshow marketing tactics to include but not limited to: mailers, bag inserts, e-blasts; and sponsorships to include but not limited to symposia, ad-hoc meetings, booth lectures, training village sessions, debrief meetings
  • Oversee relevant vendor selection, management and ongoing analysis of performance / Review and negotiate contracts with vendors
  • Develop a yearly calendar of events with major deadlines involving key stakeholders – responsible to track progress & follow up
  • Plan and run biweekly Congress Planning Team Meetings / Ensure appropriate cross functional participation in those Meetings
  • Develop and maintain budget tracker, and complete post-event budget reconciliation, finalizing and verifying all expenses
  • Research and analyze target audiences and tradeshows to recommend/choose appropriate marketing mediums to impact engagement and understand amongst event attendees
  • Identify opportunities for driving attendee interactions and efficiencies throughout the congress
  • Research and direct execution of best practices to improve meeting services for small, mid-size and large conferences.
  • Work with compliance to ensure all Healthcare/Medtech compliance requirements are met, and complete pre and post-event compliance tasks


  • Bachelor’s degree
  • 6+ years’ experience managing congresses & events
  • Excellent communication skills in English; additional European languages are an asset
  • Prior experience in Healthcare / Medical Device
  • Pan-European agency management experience is a bonus
  • Fluency with Microsoft Office required
  • High degree of energy, motivation, with strong attention to detail.
  • Ability to work fully independently and successfully in a matrix environment
  • Ability to influence to align relevant stakeholders and execute in a timely manner
  • Excellent writing, presentation and project management skills
  • Willing to travel (20-25% +)
  • Ability to manage multiple projects with tight deadlines
  • Demonstrate capability to manage small and large complex meetings in different European cities with multiple suppliers / stakeholders
